How to track warranties, servicing and important deadlines

Why receipts are not enough

A receipt proves the purchase, but it does not remind you when the warranty expires. Documents often disappear into a drawer or photo gallery and are found only after a failure. A reliable system connects purchase information with a date and reminder.

Which deadlines are worth tracking

Useful examples include warranty expiry dates, vehicle and boiler inspections, insurance renewals, filter replacement, bicycle servicing, annual fees and periodic safety checks. Do not record everything; focus on events that cost money or cause problems when missed.

Setting an effective reminder

Create the reminder early enough to act. Seven days may be enough for a warranty or appointment, while insurance and servicing may need several weeks. Add a short note with a policy number, service contact or required documents.

Recurring deadlines

Events that repeat monthly, annually or every few years should create the next occurrence automatically. This applies to inspections, payments, consumable replacement and safety checks. After completing an event, verify that the next date is correct.

Linking a deadline to an item

A “warranty” deadline is more useful when it identifies the device. Linking it to an item keeps the purchase date, value, photos and notes nearby. If the item fails, all relevant information is available together.
